Manager's checklist before the five-year inspection (PDF for download)

A well-prepared five-year inspection takes less time, costs less, and doesn't come back for a 'second appointment' for half a year. A specific list of things to prepare – to print and tick off, with a PDF file to download.

Why this list

We write about what a five-year inspection is and who is responsible for it in a separate guide on the inspection under Art. 62 of the Construction Law. Here is the practical part: what to prepare so that the measurement team does not bounce off closed doors, and the valuation is not a "range from-to" but a concrete figure. Before requesting a quote — data that speeds everything up

  • number of buildings, staircases and premises (including commercial);
  • year of construction and type of development (tenement house, large panel, new construction);
  • whether the buildings have a lightning protection system;
  • date and protocols of the last inspection (if any) — from the building's logbook;
  • known problems: failures, floods, planned renovations or thermal modernisation.

Before the team arrives — logistics

  • notices in stairwells with dates for access to premises (at least a week in advance) and information on what the inspection concerns;
  • contact to the building manager / caretaker with keys to distribution boards, basements, recesses and roof access (lightning protection);
  • list of premises with contacts where the administration has them — shortens the scheduling of second appointments;
  • established procedure for inaccessible premises: second appointment and method of confirmation;
  • parking space / access for the team during working hours.

After the inspection – so that documents work, not just sit there

  • inspection protocols – for the building logbook (each building separately);
  • list of defects with priorities – for the next community meeting or renovation plan;
  • “immediate” defects – commissioned straight away, with confirmation of removal;
  • date of next inspection – entered into the administration calendar (we also send reminders);
  • budget proposals: what to include in next year's plan (main power supply? distribution boards? common area lighting?).
